RTO & CRICOS Registration Renewals – ASQA

Registered training organisations (RTOs) and CRICOS providers must submit a complete application to renew their registrations at least 90 days prior to the expiry date of their registration as listed on the national register. This is a requirement of the National Vocational Education and Training Regulator Act 2011 and the ESOS Act 2000. 

For providers who have different RTO and CRICOS registration dates, ASQA is trying to align these dates at the time of renewals (ASQA, 2018). Keeping this in mind, if the gap between the registrations is not much, it is advisable that renewal applications for both RTO and CRICOS registrations are lodged at the same time.

If providers fail to submit a complete application at least 90 days prior to the expiry date, their registration/s may not be renewed.

As expected by ASQA, planning and preparation for renewing registrations should ideally commence 12 months prior to the date on which registration expires (ASQA, 2019).

Renewal applications are lodged through ASQANet.

NoteProviders cannot use a renewal of registration application to add qualifications, accredited courses or units of competency to their scope of registration.

We assist in preparing and lodging RTO and CRICOS renewal applications. As it is pertinent that providers clearly demonstrate compliance with the required standards at the time of application (and subsequent ASQA audit, if any), our process starts with an internal review/audit. Typical renewal preparation includes;

  • Review of past compliance history and applications, and RTO profile
  • Review of previous audit reports
  • Internal review/audit against regulatory standards
  • Implementation of the required rectifications and improvements
  • Development of renewal strategy and plan
  • Application to ASQA
  • Post-application follow-up and ASQA audit attendance, if needed
  • Post-audit rectifications (if applicable)

ASQA will only conduct an audit during renewal of registration if a risk assessment (provider compliance history, standing, application and supporting evidences) indicates that an audit should be conducted.

We, accordingly, ensure that all the documents are evidences are prepared in accordance with RTO risk rating (ASQA: Provider Profile) and expectations.

Application preparation and lodgement, including the processes listed above, may take 1-2 months. Therefore, we recommend that our engagement process starts at least 5-6 months prior to the registration expiry date.
